On Campus Jobs
Student Employment Program
On-campus student employment includes two types of programs: Federal Work-Study and Campus Employment. The Center for Career Development administers both programs for undergraduates in the Student Employment Office in Founders G-12.
Policies for the Federal Work-Study Program are set by the Federal Government and policies for Campus Employment by the College. Students in both programs are paid hourly according to the pay scales of the Student Employment Job Classification System.
To ensure that work schedules do not interfere with academic performance it is strongly recommended that students work no more than 10-12 hours per week. Students are permitted to work during hours that do not conflict with their class schedules. No student employee should work more than 40 hours per week.
Information for International Students
Students who have entered the United States on a non-immigrant alien visa (e.g. F-1, E-2, L-2, A, G-4, B-1, B-2, etc.), must consult with the Director of the Office of International Student Services (OISS) before considering or accepting any employment, including paid or unpaid internships, off campus employment, on-campus employment, and any practical training in their field of study. The Director will provide information regarding U.S. government regulations, eligibility requirements and limitations/restrictions regarding the employment of international students. Students on F-1 visas may work in limited circumstances. Students on all other non-immigrant alien visas may not work legally. International students are not eligible for the Federal Work-Study Program.
Information for Supervisors

Documents Required for Payment of Wages
In order to be paid for hours worked, all students must complete a Student Employment Agreement, IRS Form W-4, Form I-9 - Employment Eligibility Verification and an Authorization for Direct Deposit of Payroll. These forms are available online here (click form above) and in the Center for Career Development.
All students must have a Social Security Card and a Manhattanville I.D. in order to work and be paid through the College. Other acceptable documents are a valid U.S. Passport or a U.S. Birth Certificate. Timesheets must be submitted biweekly in order to be paid. All required paperwork must be received by the deadline of each payroll period before a timesheet can be issued. The Payroll Schedule is available here, and in the Center For Career Development.
Federal Work-Study Program
Federal Work-Study is a financial award which allows a student with demonstrated "financial need" to earn a portion of his/her educational expenses by working in a position on or off campus. To determine eligibility or apply for FWS please contact the Financial Aid Office.
Off-Campus Federal Work-Study (OFWS) Opportunities
If you would like to use your FWS in community service, why not consider some of your choices? There are opportunities to work as teacher's aides, daycare specialists, tutors, mentors, and even computer and program development assistants.
Each year, we are in contract with several organizations that participate in the Off-campus Federal Work-Study program, and they are anxiously waiting for interested students to fill the open positions listed in the Center for Career Development, the Duchesne Center for Religion and Social Justice, or online at eRecruiting.
Should you choose to participate in this program, you would be paid bi-weekly through our office, as with any other on-campus job. Transportation or car-pooling may be available.

Campus Employment
Students who have not been awarded FWS funds may apply for a campus job after a 3-week waiting period at the beginning of the fall semester. Campus Employment positions are available during the fall, spring, and summer semesters. Please note that certain departments may have limited Campus Employment positions.
How to get a job on campus
- Consult the job listings in the Student Employment Office or go to eRecruiting (www.mville.erecruiting.com) for potential work sites.
- Select several places you would be willing to work.
- Call, e-mail, or visit those offices to apply. Try to make a good impression. You are trying to get hired.
- Discuss your availability and your skills to see if there is a match.
- Once hired, complete a Student Employment Agreement with the department supervisor.
- Submit the Agreement, along with all required forms and documents to the CCD.
How to log in to Student Employment Job Listing
- Log on to Manhattanville's eRecruiting site.
- Follow the instructions for logging in with your username and password on the home page (or contact the office for assistance).
- If you are logging in for the first time you will be asked to activate your account by completing some profile information.
- On your home page, scroll down to “One-Click Searches” and click “On Campus Jobs (FWS & Non-FWS) for all current on campus jobs.
- Use the keyword search or advanced search to narrow down your results.

Filling out your Student Employment Agreement
- Section I and section III to be completed by the student and Section II by the supervisor.
- Both signatures are required in order for the agreement to be processed.
- Should a student's employment be carried over from one academic year to the next, a new Employment Agreement is required in September. There is no need for a new agreement if the student is being carried over from another semester within the same academic year. Students working in the summer will be required to submit a separate Summer Employment Agreement.
- Students who have not previously worked on campus must submit all required paperwork before they can begin working. All paperwork must be received by the CCD the Monday prior to a timesheet due date if the student wishes to be paid the following week.
Timesheets & Payroll Schedules
- All on-campus student employees must submit bi-weekly timesheets online via WebAdvisor.
- Paper timesheets will only be accepted from students working Off-Campus Federal Work-Study positions.
- Electronic timehseets are due biweekly according to the Student Payroll Schedule (choose at right) by 10AM. You will be paid by direct deposit and earnings statements can be accessed online via WebAdvisor.
- Students will not be able to access and submit their online timesheets after 10AM. Students who miss this deadline must contact the Center for Career Development as soon as possible. There is no guarantee that late timesheets will be processed for the current payroll.
- Meal breaks must be indicated on your electronic timesheet if you work a shift of more than 6 hours.
- Never touch the "Insert" boxes or "Additional Time (Prior Period)" box on your electronic timesheet.
- Make sure you sign your timesheet by checking the electronic signature box at the bottom of the page. For more instructions about electronic time sheets, see the Student Time Entry Instructions at right.
- All timesheets must be approved electronically by 2PM by Supervisors. (Supervisors: See Supervisor Approval Instructions for assistance.)
- Timesheets that are late, incomplete, or incorrect will not be processed.
Filling out a W-4 and I-9 Form
Form W-4
- Disregard sections A-H
- Put a 1 in box #5 if:
- you are claimed on your parents' income taxes and THEY make more than $3,700/year
- you are not claimed by your parents and YOU make more than $6,000 /year
- you are a foreign student and make more than $2,400/year
- If less than the above amounts is earned in any situation, put a 0 in box #5
- Complete sections 1,2,3, and 4
- Sign and date the form
Form I-9
- You must have your student ID or Driver's License and Social Security Card, Birth Certificate, or Passport
- Complete all of Section 1 (International students will need information from their I-20 Form to complete this section)
- Sign and date form
- Present proper forms of ID to Student Employment Administrator
Additional Information
Employment of Graduate Students
Presently, no graduate student works on campus through the CCD in the Student Employment Program. Graduate students are to be employed through the office of Human Resources.
Reminders for Federal Work-Study students
Students with a Federal Work-Study (FWS) award must first use this allowance before they can receive earnings from campus employment.
When a student is reaching the end of the FWS award, the CCD will notify the student and the supervisor.
A student may contact the Financial Aid Office to see if additional award is available. If yes, the student continues to be paid through FWS. The CCD and the Payroll Department are notified of the change in award.
If a student cannot get additional FWS award and there is a department budget in Campus Employment, the supervisor may submit an authorization to switch the student’s payroll type to Campus Employment.
If a student cannot get additional FWS award and there is not a department budget in campus employment, employment ends.
If a student has used up all FWS award possibilities and is working in an Off-campus FWS Community Service position, the student may retain the position on a volunteer basis, otherwise employment ends.
